What it is and what it is not

Frequently asked questions

Everything a board needs to know before starting a circle.

What is My HOA Circle?

A private place for your HOA to build community. Give your residents a way to plan events, ask questions, and share recommendations, with optional messaging to their HOA manager. Community content is private to invited residents.

Who is it for?

HOA boards, the residents of their communities, and, where a community has one, the management company that serves it. Self-managed and professionally managed communities both use My HOA Circle.

What can residents actually do?

Plan events, ask questions, share recommendations, sell or give away items, post alerts, and say hello, plus optional messaging to your HOA manager. RSVP to events. Browse the Directory and Resources. Everything is private to your community.

How is the Directory controlled?

Each resident controls their own listing. Every resident starts Not Listed, and appears in the Directory only after choosing a listing in Account. Email, phone, and photo are each a separate choice, off by default. Email and phone appear only after the resident completes a consent record for that field. A resident can change or revoke a choice at any time, and the change takes effect everywhere at once. An Admin can lower a listing or suppress it, for a statutory opt-out or a safety need, and cannot raise it. The Directory is a voluntary community directory. It is not the statutory membership list, which stays with the manager or the board, outside the product. No resident can export or print the Directory in bulk.

How does messaging the manager work?

A community can turn on message forwarding at setup, or leave it off. Where it is on, a resident writes in the portal, the message is forwarded once to the manager's verified email address, and the reply comes back by email. The message is deleted from the portal when it is delivered, and in every case within 24 hours. The portal keeps a delivery log with no message content, for 12 months, that only the Admin can see. Limits are 5 messages per hour and 20 per day for each resident. Do not use the form for emergencies, legal notices, records requests, or assessment disputes. Contact the manager directly for those.

What does the Admin get?

Start from your verified roster. Publish Announcements, pinned at the top of the page. Publish Resources, Rules, and the Handbook. Manage residents, homes, and invites. Delete content that violates the community guidelines. The Admin does not post in the Feed, does not create events, and does not edit another resident's content.

Is this official HOA business?

No. Board meetings, deliberation, and official notices do not happen in My HOA Circle. Dues, violations, work orders, accounting, and official records stay with your manager and existing systems, or with the board in a self-managed community. Announcements published by the Admin are broadcast only, with no replies or comments.

Does it replace our manager?

No. My HOA Circle is the community layer. It works alongside your manager, where you have one, and covers community life only.

Who sets this up?

Your board does. The board designates the Admin, who sets the community up from the roster: a management company, a board appointee, or a board member in a self-managed community.

Who can join?

Only invited residents of your community. The Admin invites the first resident for each home. That resident can then invite others in the same household to join under the same home. Residents must be 18 or older. Community names are discoverable, but content is private and there is no public signup.

How do you verify residents?

The Admin adds every home in the community first. Invitations go out to email addresses the Admin provides, each one tied to a specific home. Residents sign in with a passwordless email link, and the account is linked to their home. There is no public resident signup, so nobody can join uninvited.

How do residents sign in?

Through your HOA's login link, with a secure email sign-in link. No password to remember. You can also look up your community's login page directly through the community finder.

Is this another social network?

No. No public profiles, followers, direct messages between residents, ads, or algorithms. Just your verified community in one private place.

We already have an email list. Why do we need this?

Email lists work until the roster changes and threads get buried. This gives the same conversation a permanent home tied to every home, so the community history does not depend on one person's inbox.

What if a resident posts something inappropriate?

Every post, comment, and message is checked automatically before it goes live. Spam, scams, profanity, threats, and personal attacks are blocked. The Admin can delete content that violates the community guidelines. The Admin cannot edit another resident's post.

How do we start?

Start your circle, confirm your email, add homes, and invite residents when you're ready. Post the first Announcements, then open it wider.

How much ongoing work is this?

Not much. Post Announcements when you have news. If your community has turned on forwarding, resident messages arrive by email. There is no inbox in the portal to check.

How much does it cost?

Free 60-day trial. No credit card required. $39 a month or $390 a year, billed to your HOA. Unlimited units, unlimited residents.

What happens to our data if we cancel?

Your HOA owns its data. If you cancel, your HOA Circle stays live until the end of your billing period. After that your data is kept for 90 days in case you come back, then deleted. The Admin can request a full export or immediate deletion at any time.
